Cookie Policy

This policy explains what cookies are, how we use them, and the choices you have regarding their use.

Last updated: March 30, 2026

1. What Are Cookies

Cookies are small text files placed on your device when you visit a website. They are widely used to make websites function correctly, work more efficiently, and provide information to site owners. Cookies allow us to recognise your browser or device and remember certain information about your preferences or past actions.

2. How We Use Cookies

ScanMePass uses cookies to keep you signed in to your account, remember your preferences and settings, understand how you interact with our platform, measure and analyse usage patterns to improve our services, ensure the security of your session, and deliver relevant features based on your role (organizer, exhibitor, or attendee).

3. Types of Cookies We Use

  • Strictly Necessary Cookies: These cookies are essential for the Platform to function. They enable core features like authentication, session management, and security. You cannot opt out of these cookies.
  • Functional Cookies: These remember your preferences such as language, region, and display settings to provide a more personalised experience. Disabling them may affect some features.
  • Analytics Cookies: We use tools like Google Analytics to understand how visitors use our platform — which pages are visited, how long sessions last, and where errors occur. All data is aggregated and anonymised.
  • Performance Cookies: These cookies help us monitor the performance of our platform and identify areas for improvement, such as page load times and error rates.
  • Preference Cookies: These store settings like your chosen dashboard layout, notification preferences, or recently visited event pages to save you time on return visits.

4. Third-Party Cookies

Some cookies on our platform are set by third-party services we use, including Google Analytics for usage analytics, Stripe for secure payment processing, Intercom for customer support chat, and Sentry for error tracking and monitoring. These third parties have their own privacy policies governing how they use the data collected through their cookies. We recommend reviewing their policies directly.

5. Cookie Duration

  • Session Cookies: Temporary cookies that expire when you close your browser. Used for maintaining your login state during a session.
  • Persistent Cookies: Remain on your device for a set period (typically 30 days to 2 years). Used for remembering preferences and returning users.
  • Our authentication cookies expire after 30 days of inactivity.
  • Analytics cookies are retained for up to 26 months as per Google Analytics defaults.

6. Managing Your Cookie Preferences

You can control and manage cookies in several ways. Most browsers allow you to view, delete, and block cookies through their settings. Please note that blocking all cookies may impact your ability to use certain features of the Platform, including staying logged in. To manage cookies in your browser, refer to your browser's help documentation. You can also opt out of Google Analytics tracking by installing the Google Analytics Opt-out Browser Add-on.

7. Do Not Track

Some browsers include a 'Do Not Track' (DNT) feature that signals your preference not to be tracked across websites. Currently, there is no universally accepted standard for responding to DNT signals, and our Platform does not alter its data collection practices based on DNT signals. We will update this policy if an industry standard is adopted.

8. Updates to This Policy

We may update this Cookie Policy periodically to reflect changes in technology, regulation, or our business practices. Any changes will be posted on this page with an updated revision date. We encourage you to review this policy regularly.
